Setting up automations

Learn how to automate repetitive actions in Zavimo projects using triggers, actions, and filters.

Automation

Zavimo lets you automate repetitive work using simple logic—so you can focus on what matters. Automations are available inside projects, and can perform actions based on specific events.

Where to find automations

To get started:

  1. Open any project
  2. Click the Automations button at the top-right

You'll see:

  • Predefined automations to quickly enable common workflows
  • A + Create custom automation button to build your own

Creating a custom automation

When creating your own automation, you'll follow a simple structure:

1. Trigger

“When this happens…”

  • Example triggers:
    • A task is created
    • Status changes to "Done"
    • A due date is reached

2. Actions

“Do this…” (up to 50 actions)

  • Examples:
    • Change task status
    • Assign a user
    • Set a due date
    • Send a notification

3. Filters

Apply filters to narrow the scope of your automation:

  • Only run if task is in a certain status
  • Only apply to tasks with a specific custom field value
  • Combine filters using AND/OR logic
Filters can be grouped and nested to create highly specific automation conditions.

Permissions

Only users with Full-access and Can edit can create, edit, or delete automations.

Examples

  • When a task is marked “Blocked” → Add a comment
  • When a task is overdue → change priority to “High”
  • When a new task is created → assign default assignee and due date
